Managing the Global Household

Background

Clients should be added to a household prior to enrolling them in a project in order for the clients served by the project to be reported correctly. In Clarity each client should have their own Client Profile; so before adding clients into a household ensure each member has a Client Profile in HMIS. 

 

There are two possible ways to create a new household:

  1. Add the current client to a one person household
  2. Join the current client with multiple-members-household that already exists

 

This video contains most but not all of the same information in this article. 

 

1.   Adding a Client to a One-Person Household

This occurs when you want to link two clients, that do not have members in either of their households, together. Please follow these instructions:

 

Step 1: Search for the client that you would like to set as the Head of Household, and Edit their profile.

(Note: Please review our Knowledge Base article on Searching for Client Records to get instructions for this) 

 

 

Step 2: Once the record is located select the Manage button on the right side of the Client Profile screen. 

 

From here you will have two methods to join a household:

 

Option 1

Step 1: There is a section labeled Your recent client searches accessed, here you will be able to see a list of clients that you have recently viewed. You are able to link your clients by clicking the Plus Sign that is next to their names.

In the example below, the user wants to add Black Widow to Captain America's household, with Captain America as the Head of Household

 

 

Step 2: The following popup box will appear, and require you to answer the following details, and click Save:

  • Member Type: The relationship between the client being added to the household and the Head of Household.
  • Start Date: The date that the client became associated with the household. Usually this will be the project start date if all clients are entering together. If you are adding a client to a household after the Head of Household and other members have already entered the project, use the date that the client is being added to the household

 

 

Option 2

If the client you want to link to the household does not appear in the Your recent client searches accessed section, follow these instructions below. 

 

Step 1: Search for the client in the Search for a Household Member section

 

Step 2: Click the Plus Sign button next to the client's name. 

 

 

Step 3: The following popup box will appear, and require you to answer the following details, and click Save:

  • Member Type: The relationship between the client being added to the household and the Head of Household.
  • Start Date: The date that the client became associated with the household. Usually this will be the project start date if all clients are entering together. If you are adding a client to a household after the Head of Household and other members have already entered the project, use the date that the client is being added to the household

 

 

 

 

2.   Join the client to a household with multiple members:

This occurs when you want to join a client to an already existing household that may have two or more members already linked. Please follow these instructions: 

 

Step 1: Search for the profile for the client who is looking to join the household. 

(Note: Please review our Knowledge Base article on Searching for Client Records to get instructions for this) 

 

Step 2: Once the record is located select the Manage button on the right side of the Client Profile screen. 

 

 

Step 3: Search for the name of any member that is in the household that this client is joining under the Search for a Household Member section, or selecting the Plus Sign next to their names if they appear under the Your recent client searches accessed section. 

 

Step 4: Once the record has appeared, click the Join button, which looks like two merging arrows, next to the name of the client whose household you want to join the current client into. 


In the example below, the user wants to join Captain America to Super Woman’s household. We can see that Spider Man is already in the household, and is also the Head of Household.
