Coordinated Entry Reports

Background

This article includes information on the reports available for the management and review of the Coordinated Entry System (CES) in HMIS. Unless otherwise noted, the reports must be run under the agency where the Coordinated Entry data is stored. Reports for clients enrolled in the Family Coordinated Entry project must be run under the Family Solutions Collaborative, while reports for clients enrolled in the Individual Coordinated Entry project must be run under County of Orange. Review the Additional Agency Access article for instructions on how to change agencies.

 

CES Reports

In the attachments section of this screen there is a document that includes all CES reports that are available in HMIS. Review the Running a Saved Look article for instructions on how to pull these reports in HMIS. Below is a description of the columns in the document.

 

  • Name of Report: Name of the report in HMIS
  • CES Component: Informs the user which clients are included on the report (individuals, families, veterans, transition aged youth (TAY) or all components)
  • Report Location: Informs the user where the report can be accessed. If the report is available to be pulled in HMIS, this field will include a path to navigate to where the report is located. Scheduled reports are emailed to users. To receive a scheduled report, please enter a ticket with the HMIS Help Desk.
  • If scheduled, how often?: If the report is scheduled, this informs the user when the report is sent
  • Which agency should this report be pulled from?: If the report is available to be run in HMIS, this is the agency where the data is stored. The report should be pulled under this agency.
  • Who should review this report?: The users that should be reviewing the report. 
    • Access Points: Agencies that are enrolling clients in the Coordinated Entry projects, completing CES assessments, and adding clients to the Coordinated Entry and/or Bed Reservation Community Queues.
    • CES Users: All users with access to the Coordinated Entry pages in HMIS.
    • FCES Lead: The agency managing the family component of the Coordinated Entry System.
    • ICES Lead: The agency managing the individual component of the Coordinated Entry System.
    • Housing Provider: Agencies that are accepting household matches to their housing opportunities through the Coordinated Entry System.
